Purpose Of New The New Match Play Policy

The Purpose of the new match play policy is to ensure that all Greystone Members have the opportunity to compete in the Greystone Match Play events. In the past, the Match Play Event matches have not been completed on time. With this new policy, we wanted to create an efficient process to allow all matches to be completed by the Men’s Day Finale so that the winners can be recognized at that event like we do with all the other competition winners. 

General Information

  • Members requesting the opportunity to play, must sign up for the season long Match Play Competition before the signup deadline, and must be available to play within the periods provided.
  • Rules for Match Play participants will be sent via E Mail to each participant that asks to be included in the Match Play Competition.
  • All Match Play participants must be able to play on weekends and weekdays without exception. If you cannot play on weekends, you are asked to step aside and make room for members who are available to play. The requirement of joining
  • the Match Play Competition is that members are available ON BOTH the weekdays and weekends.
  • All inquiries regarding the individual and Team Match Play Events should be directed to the Match Play Chairman or the Match Play Coordinator only.
  • All player’s team E Mail addresses will be provided to all Match Play participants once the Match Play brackets have been determined. The E Mail addresses for all players can be obtained from the Match Play Chairman or Match Play Coordinator.
  • All communications are and remain exclusively with the participants without exception. It is the sole responsibility of the participant (s) to make the necessary arrangements for matches, without exception.
  • The Match Play Chairman or Match Play Coordinator will provide E Mail notifications to individuals and team players what the deadline is for their approaching match.
  • The Match Play Chairman or Match Play Coordinator will provide E Mail notifications to individuals and team players with the most recent results and remind players and teams to set their matches forthwith.
  • Winners must inform the Match Play Chairman or Match Play Coordinator when their match is completed.
  • Winning player and winning teams will be posted on the Match Play Boards in the men’s locker room, and other available notice boards by the Match Play Chairman, the Match Play Coordinator, or designate within 3 days at the completion of each match.
  • The Pro Shop staff will make up the match play scorecards for the individual and team players. Note, it is the responsibility of all participants to ensure handicaps and scorecards are correct PRIOR TO PLAY. No changes will be made after the match is completed. Participants are required to review and prepare in advance of the match without exception.

Scheduling

  • The BOTTOM team or individual player in the bracket MUST initiate the scheduling of the match with the team or individual player above them in the upcoming round bracket.
  • The onus is on both teams or individuals to make every effort to arrange the matches as early as possible.
  • Match deadlines will be clearly marked on the Match Play board’s in the Men’s Locker room and other appropriate notice boards. All deadlines will be on a Wednesday of a particular date, with a final hard deadline by the following Sunday. It is expected that both teams and individuals will play their match by the following Sunday at the absolute latest after the Wednesday deadline. This deadline will be upheld without exception. The Match Play Chairman’s decision will be final in all cases as it relates to this issue.
  • Not being able to play on weekdays or weekends is not permissible. It is understood that participants will reasonably accommodate as best as possible as it pertains to each other’s preferences/schedules, but options will need to include both weekday and weekend dates. Failure to provide reasonable flexibility will be considered in any Deadline Exceptions and Outcome Determinations.
  • Playing any matches during Men’s Day shotgun is not permitted.  Matches are permitted during morning tee times of Men’s Day.

Deadline Exceptions

  • Any concerns or risk around deadlines need to be brought to the attention of the Match Play Chairman or Match Play Committee immediately. Raising the concerns at the match deadline or at the last minute is not recommended and could result in a disqualification after the review of the facts. The deadline exceptions can be presented for consideration by either party.
  • Deadline Exceptions will be considered for the following reasons:
    • Death/serious illness in the family.
    • Illness.
    • Serious injury.
    • Family related emergency (on the day of a scheduled match).
    • This list is not intended to be exhaustive but rather is intended to provide examples of the severity that would reasonably require and be granted accommodation.
  • Deadline Exceptions will be reviewed by the Match Play Chairman & Match Play Coordinator for a final ruling. The Match Play Chairman’s decision is final as it relates to exception.
  • Exceptions will be limited to 7 days (1 week from the final deadline) or in the case of an extension 7 days from the final Sunday. It’s notable that these exceptions are not intended to allow the Match Play Competition anything but a limited delay. If participants are unable to meet this requirement, they will be disqualified immediately as determined by the Match Play Chairman, this decision will be final.

Outcome Determinations

  • Failure to complete a match on time will result in the disqualification of the one or both of the player(s) or team(s).
  • If an extension is requested by an individual or team because the match cannot be played by the hard deadline date of Sunday the Match Play Chairman and or Match Play Coordinator will consider all evidence available, both E Mail string and verbal testimony to determine if an extension may be granted, or a disqualification is warranted.
  • The Match Play Chairman has the sole discretion to disqualify any player(s) or teams(s) that have not completed their match by the deadline (or the Deadline Exception related deadline). Please note that vacations, holidays, not playing well at the time of the scheduled match or less than ideal weather conditions will not warrant an extension past the hard deadline of Sunday after the official Wednesday deadline.
  • If both teams or players have made every effort to arrange a match as outlined in the Scheduling section above, are unable to reasonably determine a play date before the match deadline, and do not qualify for a Deadline Exception then a coin toss will determine the winning person or team.  Both parties will be advised by the Match Play Chairman or Match Play Coordinator that a coin toss is taking place. The coin toss will be done by the Match Play Chairman or the Match Play Coordinator with a witness from the Pro Shop present. The winning and losing team will be notified via E Mail immediately with the result of the coin toss. All evidence for a coin toss to take place must be communicated to the Match Play Chairman or Match Play Coordinator before the hard Sunday deadline. No evidence will be heard after the Hard Sunday deadline. NO EXCEPTIONS.

Other Items

  • All match bookings and communications are preferred to be via email to ensure an electronic paper trail is available.
  • Competitors will be expected to send confirmation via E Mail when conversations have occurred so that the communication is diarized. Failure to provide adequate electronic evidence may well result in a disqualification of an individual or team if and when a match is in jeopardy of not being played on or before the Wednesday deadline or following Sunday Hard deadline.
  • Sign up for the Match Play events must be done before the sign-up Deadline. No late entries will be considered. The draw is blind.
  • Handicaps will be played at 100% handicap for individuals and 90% handicaps for teams which is aligned with the Golf Canada standard.
