Greystone Advisory Board Structure
1(a). Captain – Shall serve a two-year term as Club Captain
- The Captain, whenever possible, will have previously served on the advisory board in consecutive years as Vice-Captain and previous a committee member. This helps keep continuity of the board and the succession plan intact.
- If for any reason the Captain is unable to full fill his two-year term, the Vice-Captain shall assume the responsibilities of Captain immediately. In this event, there will be no Vice-Captain for the remainder of that season.
- Should there be no Vice-Captain to assume the Captain’s role, there will be an advisory board nomination process and the advisory board will select the Captain by simple majority vote from the nominations once the nomination period has closed. Advisory board members may only nominate themselves and/or fellow advisory board members.
- Should a Captain assume their role part way through the year, the partial year will not be counted towards the term served as Captain.
- The advisory board members, by simple majority vote, can request the Captain extend their term to a third year should a suitable replacement not be ready and/or available.
- The selection of a Captain or the extension of a Captain’s term will be communicated to the membership.
(b). Vice-Captain – Shall serve a two-year term as Vice-Captain
- The Vice-Captain shall be selected through an advisory board nomination process by the advisory board members. Advisory board members may only nominate themselves and/or fellow advisory board members.
- It is preferred that an advisory board member has completed a minimum of two years on the advisory board to be eligible for Vice-Captain.
- The advisory board will select the Vice-Captain by simple majority vote from the nominations once the nomination period has closed.
- If there are no nominations for Vice-Captain, the Captain may appoint a Vice-Captain from the board.
- Past Captains and Vice-Captains can serve additional terms as Vice-Captain provided the terms are not consecutive as Vice-Captain.
- The selection or appointment of a Vice-Captain will be communicated to the membership.
(c). Advisory board vacancies
- A vacancy will occur when an advisory board member resigns from the board or is determined to no longer be a member in good standing.
- The advisory board shall communicate to the membership any vacancies on the board and advise them of the application process and application period.
- All members in good standing shall be encouraged to put forth their names for possible appointment to the board.
- Specific requirements may be put in place for positions that require expertise or experience in a dedicated area i.e. finance, marketing, governance.
- Through the application process, the advisory board will select new advisory board members by simple majority vote from the applications once the application period has closed.
- The advisory board may, at its discretion, extend the application period if it does not have the quality or quantity of applications required to select the appropriate replacement.
- If an advisory board member moves to a new position and a vacancy occurs, the Captain may open an “at-large” committee position to assist in any area of responsibility.
There shall be 12 positions on the advisory board defined as:
