Board Members Rights and Responsibilities

Professional Conduct. Board Members always engage in respectful conversations with all Members irrespective of the difficulty of the conversation. No personal objective or agenda will be supported by the Board under any circumstance.

Ethics and club support, It is expected that as a Greystone Golf Advisory Board Member you will be an active supporter of the club and participate in as many events as possible. It is also expected that you don’t talk negatively about other Board Members, and support the direction and the decisions the Board makes.

Equality and fairness, Each Board Member will treat all Greystone Members the same, no personal agenda or special rules for any individual Members.

Board Members shall be Members of the home club they are representing. ie: Greystone and maintain Full Golf status. They will represent in a positive manner their Club at any associate Club and Inter-Club events.

Social Members may participate in committees relating to Social events only. ie. Nine and dine, couples night and dining events. Social members do not have voting rights when it comes to Board votes or actionable items.

All Board Members shall act as a liaison between all Club Members and the Management team to ensure the enjoyment of everyone at the Club. The Management team of the Club will maintain responsibility of all daily operations, finances and spending including golf, food & beverage and turf practices.

The Advisory Board; shall consist of a Ladies committee and Men’s Committee and shall manage their sections of the Membership. Collaborating and combining effort to bring the Club and its Members together whenever possible. Committees shall contain the following people if available and eligible.

Ladies Section (if applicable) – Club Captain, Vice-Captain, past Captain 1-2 committee members, Head Professional and or Director of Operations

Men’s Section – Club Captain, Vice-Captain, past Captain 2-4 committee members, Head Professional and or Director of Operations.

Each Board Member shall volunteer for a specific duty that shall contribute to the success of the advisory board. These duties may vary based on Club needs.

The Club Captain serves one or two year terms; the past-captains serve on the Board to help with succession and continuity. The Board Chairperson is the Director of Operations. Director of Golf or Head Professional who coordinates the meetings, organizes the agenda, run’s the proceedings.

In this capacity, the Director of Operations also lends his or her skill and experience in running golf competitions. ClubLink has found that this partnership results in well-received golf events that develop consistency and history from year to year.

The main responsibility of the Board and its Members are the Club’s events and Member engagement.

Member Events

  • Create, promote, participate and engage in Member Golf Events. Events should be evenly balanced to promote, fair, fun competition and are directed to the playing abilities, handicaps and enjoyment of all Club Members.
  • Assist in creating a balanced Club schedule that provides the highest level of participation possible.
  • Assist in allocating Club Prize Fund money to provide events with adequate prizing based on participation and level of competition.
  • The Club Captain and Vice-Captain shall provide their recommendations to the Director of Operations or Head Professional in times of uncertainty of process during Member events.
    Ie. In-climate weather, or other abnormal conditions.
  • Gather feedback from participants and Members and report to Head Professional for future improvements to all Member events.
  • Work with the Club Handicap Committee before during and after competitions and throughout the season to ensure accurate score posting and the Golf Canada Handicapping System is being adhered to.
